24-Hour Cancellation Policy

We kindly request that you provide at least 24 hours' notice if you need to cancel or reschedule your appointment. This allows us to offer the time slot to another client and ensures that appointment slots are utilized efficiently.

Reschedule/Cancellation Procedure:

  • If you need to cancel or reschedule your appointment, please do so at least 24 hours in advance. You can let us know by text (804) 352-3798 or email at info@poppyvocalstudio.com.

Late Cancellation or No-Show:

  • Appointments canceled with less than 24 hours' notice or missed without notification (no-show) may result in a loss of that session. We understand that emergencies can happen, and we appreciate your effort to notify us as soon as possible.

Exceptions:

  • We recognize that certain situations are beyond your control. If you experience an emergency or unforeseen circumstance, please contact us as soon as possible, and we will work with you to find a suitable solution.

Monthly Membership

Poppy Vocal Studio offers flexible membership options to suit your needs, including various lesson lengths and membership levels. Students can choose from a 30, 45, or 60-minute plan, with options for part-time (2 lessons per month) or full-time (4 lessons per month).

  • Pricing: Memberships start at $110 per month. For more details, feel free to discuss with your teacher or email us directly.

  • Billing: Your monthly membership fee is automatically charged on the first day of every month and is non-refundable after 24 hours. If payment is declined or there are insufficient funds, you must resolve the issue by the 5th of the month. Otherwise, a $25.00 late payment fee may apply.

  • Delinquent Payments: We understand that life happens, and financial situations may change. However, after 3 months of missed or unresolved payments, we will unfortunately have to pause your membership and services until the balance is cleared. If the payment issue continues beyond that, we may need to discontinue the membership. Please don't hesitate to reach out if you're facing challenges—we're here to work with you to find a solution.

  • Prorated Amounts: Prorated amounts for your first month will be charged in full at the first lesson.

Membership Changes & Cancellations

Your purchase of coaching packages or lessons indicates your commitment to the process and your intention to see it through. However, we understand that circumstances can change. Below are the general guidelines for membership changes and cancellations. All requests are considered on an individual basis, and we commit to offering grace when needed.

Refunds:

  • You may cancel your membership within 24 hours of purchase and request a refund, minus a 5% transaction fee. To cancel, please email accounts@poppyvocalstudio.com.

  • Membership fees are non-refundable after 24 hours of purchase.

Cancellations:

  • A 15-day notice is required for all membership cancellations. If the cancellation request is submitted after the 15th of the month and you are canceling for the following month, a $50 expedited processing fee will be charged.

Changes:

  • You may request to change your membership type by filling out the Membership Change Form. Once confirmed, the membership change will take effect in the following month.

Studio Holiday Closures

Poppy Vocal Studio observes the following major holidays and will be closed on these dates. If your lesson falls on one of these dates, you may reschedule your lesson or request a lesson credit for future use.

  • Martin Luther King Jr. Day

  • Memorial Day

  • Juneteenth

  • 4th of July

  • Labor Day

  • Indigenous Peoples’ Day

  • Thanksgiving Day + Black Friday

  • December 24th - January 1st (Christmas Eve through New Year's Day)
